Attending SDP Convening

Current Fellows and Supervisors, Alumni Council, and Faculty Advisors

Step 1: Register

Please RSVP to confirm your attendance at the 2020 Strategic Data Project Convening. Attendance at SDP convening, including all registration fees and travel and lodging, is covered by the partnership fee for fellowship participants.

Step 2: Schedule a Travel Consultation

Please schedule a travel consultation call so we may make your travel arrangements to convening. On these consultation calls you will discuss your travel options and needs, and we will book your travel (via rail or air) accordingly. Contact Jay Smack with questions or to discuss your travel plans.

Arrival

  • All Cohort 10 fellows and supervisors should arrive in Boston on Monday, May 18th. Convening registration will begin at 7:00AM the following morning. 
  • Cohort 11 fellows and supervisors who are able to should arrive in Boston before 6:00PM on Monday, May 18 for an optional cohort dinner.
  • Alumni Council Members and active Faculty Advisors should also arrive in Boston on Monday, May 18th. Convening registration will begin at 7:00AM the following morning. 

Departure

  • Convening will officially adjourn at 3:30PM on Wednesday, May 20th.
  • Cohort 11 fellows and supervisors, and Cohort 10 supervisors should book flights departing after 5:00PM on Wednesday, May 20th.
  • Cohort 10 fellows should book flights departing after 2:30PM on Thursday, May 21st to allow time to celebrate their fellowship graduation, which will conclude at 12:00PM that day.

Step 3: Your Hotel is Covered

SDP will house fellows and supervisors in either the conference hotel, the Westin Boston Waterfront Hotel.

  • Cohort 11 fellows and supervisors, and Cohort 10 supervisors: Room and board expenses for two nights at the conference hotel are covered by SDP.
  • Cohort 10 fellows: Room and board expenses for three nights at the conference hotel are covered by SDP.
  • If you are traveling from the West Coast (or similar distances) and need to stay an extra night, you will receive approval to do so during your travel consultation call. 

Step 4: Build Your Agenda

In April you will receive an email and link to the final agenda so that you may make your session selections.

SDP Alumni

Step 1: Register

Please RSVP to confirm your attendance at the 2020 Strategic Data Project Convening. This event is open to the entire SDP community and there is no registration fee for fellowship alumni. However, SDP alumni will be responsible for their own lodging and travel.

If you are looking to offset the costs of attending convening, SDP is looking for session proposals currently. If your proposal is selected, each speaker involved will receive a $1,000 stipend in payment. You can read more and respond to the request for presentations (RFP) here.

Step 2: Book Your Own Travel

Alumni are responsible for their own travel. We recommend arriving in Boston on May 18, because convening will begin first thing on Tuesday, May 19. Convening will conclude at 3:30 PM on Wednesday, May 20.

Step 3: Reserve a Hotel Room

We recommend staying at the convening hotel, the Westin Boston Waterfront Hotel; however, other area hotels or lodging rental options may be more cost effective for individuals or groups of alumni.

Step 4: Build Your Agenda

In April you will receive an email and link to the final agenda so that you may make your session selections.

Prospective Speakers

Step 1: Propose a Session

Submit your proposal to speak at SDP Convening.

  • Final deadline for proposals is February 29, 2020
  • Acceptances will be delivered before March 13, 2020

If you have been invited to speak at this event by a conference organizer, please disregard these instructions, and refer to the guidance for “Special Guests” below.

Step 2: Register

Please RSVP to confirm your attendance at the 2020 Strategic Data Project Convening. This event is open to the broader SDP community. When you register, please indicate that you are a speaker, including whether you are proposing a session via our RFP.

Step 3: Session Proposal Decisions Released on Rolling Basis

A panel of staff and alumni will review proposals and select ones that address areas of high interest, feature diverse perspectives, and a clear vision for their attendees’ learning. Organizers will notify speakers of the status of their application on a rolling basis, with final notices released by March 13.

If your session is selected, you will receive a $1,000 stipend to offset the cost of travel and lodging. This stipend will be disbursed after the conference, in the event the unforeseen happens and you are no longer able to speak.

If your session is not selected, you are still invited to attend the event. In your notification, conference staff will let you know how to proceed with updating your registration. 

Step 4: Book Your Own Travel and Lodging

Once your session is confirmed—or earlier if you plan to attend convening regardless of your proposal’s result—you may schedule your own travel and lodging. Remember, SDP will not reimburse for the cost of travel or lodging for speakers who apply through the RFP process, but you will receive a $1,000 stipend after the event to offset these expenses.

You should plan your travel so that you arrive on May 18th and depart after convening adjourns at 3:30PM on May 20th.

In April, SDP will invite you to select your preferred breakout sessions. Don't forget to select your own!

Harvard CEPR Staff and Affiliates

Step 1: Register

Please RSVP to confirm your attendance at the 2020 Strategic Data Project Convening. This event is open to the SDP community, and there is no registration fee for Harvard faculty and staff, or CEPR affiliates, including former SDP faculty advisors.

Step 2: Plan Your Trip

The 2020 Strategic Data Project Convening will commence at 8:00AM on Tuesday, May 19, and adjourn by 3:30PM on Wednesday, May 20.

If you are traveling from out of town, we encourage you to arrange accommodations at the Westin Boston Waterfront Hotel, however other area hotels may be more cost-effective.

Other SDP Community Members

This year the 2020 Strategic Data Project Convening is open to all members of the SDP community. We hope to see former SDP Institute participants, former supervisors, and coworkers of current fellows join us at this exciting event.

The conference registration fee for guests will be $1,000, which will include all conference sessions, meals and affiliated events. You will be responsible for the expenses associated with your own travel and lodging.

Step 2: Pay Registration Fee

Based on the information in your registration form, SDP will follow up to share instructions for paying the $1,000 conference registration fee. Email Jay Smack with questions, and to check on payment status.

Step 3: Build Your Agenda

As long as you’ve successfully paid your registration fee, in April you will receive an email and link to the final agenda. At that time you may select sessions to build your own agenda for the SDP convening.
